Count stairs separately
A flight of stairs takes as long as a medium room and is harder work. Carpet cleaners who quote “four rooms and the stairs” as five rooms are underpricing every job with stairs in it.
Price them per flight or per step, on their own line.
Put the upsells on the document
- Fabric protector, per room
- Deodoriser / pet treatment
- Spot and stain treatment
- Furniture moving
These are the margin in carpet cleaning. A technician who applies protector without invoicing it separately has given away the most profitable ten minutes of the visit.
Add the drying note
Most complaints after a carpet clean are not about cleanliness — they are about the carpet still being damp that evening and the customer assuming something went wrong.
One line prevents nearly all of them:
Carpets should be dry within 4–6 hours. Keep air moving where possible and avoid heavy traffic until fully dry.
Note when the next clean is due
Carpet cleaning has one of the highest natural repeat rates of any trade here and one of the worst capture rates, because nobody remembers when they last had it done.
Recommended next clean: August 2027.
That single line, plus a reminder at eleven months, recovers a meaningful share of customers who would otherwise call whoever advertises next year.
Take the card before you leave
The customer is standing on a visibly cleaner carpet. This is the moment.
QuoteIQ at $29.99/mo invoices and takes payment on site. Jobber at $49/mo adds online booking — which matters in this trade because most enquiries arrive in the evening — and automated annual rebooking reminders on Connect. Housecall Pro includes five seats at $189/mo once you run several vans.
Questions operators actually ask
What should a carpet cleaning invoice include?
Rooms or areas cleaned, stairs counted separately, any protector or deodoriser applied, spot treatments, the method used, and drying guidance. The drying note matters — most complaints about carpet cleaning are actually about how long the carpet stayed damp.
Should stairs be a separate line?
Yes, priced per flight or per step. A flight of stairs is as much work as a room and takes longer, and folding it into a room count is how carpet cleaners underprice jobs with stairs.
How do I invoice protector and deodoriser?
As separate lines with their own prices. These are the upsells that turn a $180 job into a $260 one, and they only get bought when they appear as items rather than being included silently.
Should the invoice mention drying time?
Yes. A short note — 'carpets should be dry in 4 to 6 hours; keep air moving and avoid heavy traffic until then' — prevents most post-clean complaints, which are usually about dampness rather than cleanliness.
How do I encourage a repeat booking?
Add a line noting when the next clean is due, typically 12 months. Carpet cleaning has a high natural repeat rate and a terrible capture rate, because customers simply forget. The invoice is the cheapest place to remind them.
