State what was actually cleaned

14 May 2026 — Exterior glass, frames and sills, all elevations (24 panes). Interior not included this visit.

Two things happen with that line. The customer knows what they paid for, and the question “did you do the insides?” never gets asked.

On a round where interior is periodic and exterior is every visit, this matters more than it sounds.

Extras earn their own lines

Screen cleaning, track and sill detailing, conservatory roof, skylights, gutter clearing.

A cleaner who is already up the ladder will do the gutter because it takes four minutes. Four minutes is fine; four minutes on forty properties is a week of unpaid work. Put it on the invoice and it becomes a service.

Recurring rounds: card on file, monthly

At $40 to $90 a visit, chasing individual invoices is not economic. Ten minutes chasing a $60 invoice has cost more than the job earned.

Take a card at signup and charge monthly with the visit dates listed. Every tool below does this.

One-offs: take it at the door

Clean windows are the most visible result in home services. The customer is looking at them. Invoice and take payment before you pack the pole.

Put the service date on it

Partly for the record, partly because it quietly answers the customer who noticed rain two days later and wondered whether the clean took.

Automating a round’s billing

Jobber at $49/mo runs recurring jobs with monthly recurring invoices, so a sixty-property round bills itself. QuoteIQ at $29.99/mo is the cheaper start. Housecall Pro includes five seats at $189/mo and route optimisation on Max, which is where a dense storefront round belongs.

Questions operators actually ask

What should a window cleaning invoice include?

The date of service, what was cleaned — interior, exterior, frames and sills — any extras, the rate, and the total. For recurring customers, the period and visit date matter as much as the amount.

How do I invoice a recurring round?

Monthly against a card on file, listing the visit date and what was cleaned. At $40 to $90 a visit, invoicing individually and chasing payment costs more than the margin on the job.

Should extras be separate lines?

Yes. Screens, tracks, conservatory roof and hard water restoration are higher margin than the glass and get absorbed constantly by cleaners who are already there. On the invoice they become services the customer buys again.

What if it rained the day after?

Nothing, and the invoice should quietly make that clear by stating the service date. Rain on clean glass does not undo the clean, but a customer without a service date on their invoice will occasionally believe it does.

How do I get paid without chasing?

Card on file for round customers, charged monthly. For one-offs, take payment on completion — you are standing next to visibly clean windows, which is the easiest sale of the day.
