Mirror the quote

Your quote listed each surface separately with its square footage and method. Your invoice should use the same lines and the same numbers.

  • House wash (soft wash), 2,100 sq ft wall area — $XXX
  • Driveway and path, 900 sq ft — $XXX
  • Rear deck, 320 sq ft (low pressure) — $XXX

The customer approved those exact lines. An invoice that regroups them, even at the same total, gives them a reason to look twice.

Take the payment on site

Pressure washing has the best payment moment of any trade on this site: the customer is standing on a driveway that looked grey an hour ago and now looks new. Nobody is ever more willing to pay than that.

Invoice before you load the machine and take a card there. The gap between finishing and invoicing is the only reason exterior cleaners get paid slowly.

Send the photographs

Before and after, attached or texted with the invoice. This trade is uniquely demonstrable and most operators under-use it. The same photographs also become your review request, your social proof and your evidence if a customer later claims damage.

If a stain did not come out

The invoice is not the moment to explain that cured oil does not fully release. That belonged on the quote, and if it was there, this conversation is short.

If it was not there, you will likely be giving a discount — which is exactly why the expectations clause on the quote is worth the two lines it takes.

Recurring commercial work

Monthly, listing the visits and surfaces for the period. Storefront and commercial exterior contracts run on schedules, and whoever approves the payment needs to see what was done.

Doing it from the truck

QuoteIQ at $29.99/mo quotes from satellite measurement and invoices with a card on site — the tightest fit of the three for this trade. Jobber at $49/mo produces the better document and automates payment reminders on Connect. Housecall Pro adds structured photo reports at $189/mo for five seats.

Questions operators actually ask

What should a pressure washing invoice include?

Each surface cleaned with its square footage and method, the rate, any minimum applied, and the total. Mirroring the quote line for line is what gets it paid without a call, since the customer approved those exact lines.

Should I include before-and-after photos?

Reference them, and send them. Exterior cleaning is the most visually demonstrable trade on this site, and a customer who sees the difference beside the invoice pays faster and leaves a better review.

When should I invoice?

On completion, on site, with a card taken before you pack up. The customer is standing next to a visibly transformed driveway and will never be more willing to pay than at that moment.

How do I invoice recurring commercial washing?

Monthly against the schedule, listing the visits and surfaces covered in the period. Commercial exterior cleaning contracts are usually monthly, and the visit list is what justifies the charge to whoever approves it.

What if the customer says a stain is still there?

Point to the quote, which should have said some staining is permanent. This is why that clause matters — without it, the conversation happens at the invoice and you lose it.
